How to sync your viewings with Google Calendar
Connect Google Calendar to Estate CRM so your viewings, meetings, calls and tasks appear on your phone and time changes sync both ways.
If you plan your day in Google Calendar, connect it to Estate CRM. Your viewings, meetings, calls and tasks appear in Google Calendar on your phone, moving one there moves it in the CRM, and your other Google appointments show as busy time on your CRM calendar, so nobody books you a viewing in Larnaca when you’re busy.
Each person connects their own Google account. It works on every plan.
How do I connect Google Calendar?
- Click your name at the bottom of the sidebar and choose My profile.
- In the Google Calendar card, click Connect Google Calendar.
- Sign in to Google and allow both calendar permissions when Google asks.
- Back in Estate CRM, the card shows Connected and the Google account it syncs with.
- Under Calendar for CRM activities, choose which of your Google calendars the CRM uses. Your main calendar is picked by default. If you change it later, the events already there move over.
The first sync runs within a few minutes. To start one straight away, click Sync now.
If there’s no Google Calendar card on your profile, Google Calendar sync is not switched on for Estate CRM yet.
What goes to Google, and what comes back?
- To Google: viewings, meetings, calls and tasks that have a start time and are assigned to you. Each event has the title, time, location, the activity text and a link back to the CRM.
- Never sent: client phone numbers, client e-mails and internal notes.
- Done activities keep their event, marked with a tick and shown as free.
- Reassigned activities move to the new agent’s Google Calendar, if they have connected one.
- Back from Google: if you move an event to a new time, the activity moves in the CRM. Changes to the title or description in Google are not copied back.
- Deleted in Google: the activity stays in the CRM and a note is added to it.
- Your other Google events appear as busy time on your own CRM calendar.
What if it says “Needs reconnecting”?
Google sometimes stops accepting a connection, for example when access is removed in your Google account. The card then shows Needs reconnecting and nothing syncs. Click Reconnect and sign in again. You also get an e-mail about it (and a Telegram alert if you use Telegram).
How do I disconnect?
Click Disconnect in the Google Calendar card. Tick Also delete the events the CRM added to my Google Calendar if you want them removed too. Your activities always stay in the CRM.
