How to turn portal enquiry e-mails into leads automatically

Forward enquiry e-mails from Bazaraki, Spitogatos, XE.gr and other property portals to one address and each becomes a lead, assigned to the right agent.

Property portals send you each enquiry as an e-mail. Instead of copying names and phone numbers into the CRM by hand, give the portals your agency’s private lead address. Every e-mail that arrives there becomes a lead in Estate CRM, is given to an agent and gets a reply task, within moments.

How do I get my lead address?

1. In the sidebar, under Admin, open Leads.
2. In the Portal e-mails card, click Create address.
3. Click Copy address.

How do I connect a portal?

You have two options for each portal:

• In your account on the portal, set the copied address as the e-mail that receives enquiries.
• Or keep enquiries coming to your usual mailbox and add a rule there that forwards them to the copied address.

This works with Bazaraki, Spitogatos, XE.gr and any other portal or website that e-mails you enquiries. Keep the address private: anyone who has it can create leads in your CRM.

What happens to each e-mail?

• The client’s name, e-mail and phone number are read from the message.
• If the e-mail mentions one of your listing references (for example DE-1040), the lead is linked to that listing.
• The lead source is set to the portal it came from, such as Bazaraki or Spitogatos, so your lead cost reports show which portal brings clients.
• The lead is routed by your rules on the same page, like enquiries from your website and share pages, and the agent is notified.
• A client you already have stays with their own agent while that agent is active.

Automatic replies and the same e-mail arriving twice are ignored, so forwarding rules don’t create duplicates.

Can I send one portal’s leads to a specific agent?

Yes. Under Lead routing, click Add rule, choose the portal in Lead source and pick the agents under Goes to. Rules are checked in order and the first one that fits decides. How do I change the address?

If the address has been shared too widely, click Replace address. The current address stops working at once, so update every portal and forwarding rule with the new one.

Direct listing feeds to these portals are not available yet. To send listings to portals that accept a standard format, see XML feeds.
