Choosing a real estate CRM

How to choose the best real estate CRM for your agency

The best real estate CRM is the one your agents actually use. Here is what to check before you choose, whichever system you pick.

From €30 per user a month, billed yearly, excluding VAT.

1. It works in your language and market

Agents must be able to work in Greek, and clients must receive e-mails and brochures in their own language. Check for local fields such as title deed status, VAT and communal fees, and that places can be searched in Greek and English.

2. It matches clients to listings for you

A real estate CRM should know what each buyer or tenant wants and show the listings that fit, every time a listing is added or changed. Without matching it is only an address book.

3. It publishes to the portals you use

Ask which portals it feeds and how often, and whether portal enquiries come back in as leads. Re-typing listings on every portal costs hours each week.

4. Your data is safe and stays yours

Check where data is stored (in the EU for GDPR), whether agents can be limited to their own clients, whether sign-in can require a second step, and whether you can export everything if you leave.

5. Moving in is easy, and the price is clear

You should be able to import listings and contacts from Excel or your old system, and try it before you pay. Prefer a clear price per user with no set-up fee over long contracts.

Questions

How much does a real estate CRM cost?

Most charge per user per month. Compare what is included on each plan, such as portal feeds and the number of listings, not only the headline price.

How long does it take to switch CRM?

With an export from your old system, listings and contacts can be imported in an afternoon. Plan a short training session so every agent starts the same way.
