How to see your viewings in Google, Apple or Outlook

Subscribe to your private CRM calendar link so viewings, meetings and tasks show in Google Calendar, Apple Calendar or Outlook on your phone.

This article shows you how to use the CRM calendar and how to see your viewings, meetings, calls and tasks in the calendar app on your phone — Google Calendar, Apple Calendar or Outlook.

What does the CRM calendar show?

Open Calendar in the sidebar. It shows viewings, meetings, calls and tasks with a date, in Month, Week, Day or Agenda view. Use the switch at the top to see My calendar or the whole team (Everyone for owners and managers, Everything I can see for agents). Press New to add an activity. Next to the calendar you also see what is Overdue and tasks with no date.

How do I add my CRM activities to my phone’s calendar?

  1. Go to Calendar and press Subscribe.
  2. Press Create link, then copy the Calendar link.
  3. Add it to your calendar app as a subscription:
    • Google Calendar: on a computer, open Other calendars → From URL, paste the link and add it. It then appears on your phone too.
    • Apple Calendar or Outlook: add a subscribed (internet) calendar and paste the link.

Your activities that have a date and are assigned to you appear in that calendar, from the last 30 days to a year ahead. The calendar app refreshes the subscription itself, usually every few hours, so a change in the CRM can take a while to show. This is a one-way link: change or complete activities in the CRM, not in the phone calendar.

Anyone who has the link can read your agenda, including your clients’ names and phone numbers. Don’t share it. If it leaks, open Subscribe again and press Reset link: the old link stops working at once, and you add the new one to your calendar app.

Can changes in Google come back to the CRM?

Yes, with the two-way Google Calendar connection in My profile → Google Calendar. Your activities are copied to Google, times you move there come back to the CRM, and your other Google events show as busy time on the CRM calendar (switch on Google busy times). See Connect Google Calendar.
