How to track sales and rentals in a deals pipeline
Track every property sale and rental from first enquiry to signed contract, see the commission in each stage and split it between agents.
This article shows you how to follow each sale and letting on the Deals board, how commission is worked out, and how to split it between the agents who earned it.
How do I create a deal?
- Open Deals in the sidebar and press New deal (or press New deal in the Deals panel on a contact’s or listing’s page).
- Choose the Client. Pick a Listing if the deal is about one — it is optional.
- Choose the Type (Sale or Rental) and the Stage.
- Leave Value (€) and Commission empty to take them from the listing, or enter them. For commission, switch between a percentage and Use a fixed fee.
- Set the Expected close date and the Agent, then press Create deal.
Probability % follows the stage unless you change it yourself.
How do I move a deal along?
The board has one column per stage. The default stages are New lead, Viewing, Offer, Negotiation and Reservation / contract. Drag a card to the next column as the deal progresses. Each column shows its commission, and the top of the page shows the Open commission, also weighted by each deal’s probability. Filter by Everyone, My deals or a single agent, or search by title, reference or client.
Click a card to open the deal and see its value, commission, activity and Next steps for its stage.
How do I close a deal as won or lost?
Drag the card onto Won or Lost, or use the buttons in the open deal. When you mark a deal won you can also mark the listing as sold or rented. The commission then counts in this month’s reports. For a lost deal, note why (for example, bought elsewhere or finance refused). The Won and Lost tabs list closed deals, and Reopen brings one back.
How do I split the commission?
In the open deal, find Commission split and press Edit split. Press Add person, choose a team member or Someone outside the team… (for example a referring agent), and give each person a Share and a role (listing side, selling side, referral or other). Any share not given to a team member stays with the agency. With no split, all the credit goes to the deal’s agent. Reports and targets use these splits.
Can I change the stages?
Yes. Owners and managers open Pipelines in the sidebar to rename or add stages, set each stage’s win probability, add next steps, and create separate pipelines — for example one for sales and one for rentals. Every pipeline ends in Won and Lost.
