How to track exclusive and open listing agreements

Record the owner's exclusive or open listing agreement on each property, attach the signed copy and get a reminder before the agreement ends.

When an owner gives your agency a property to sell or rent, you usually sign an agreement, either exclusive or open. This article shows how to keep that agreement on the listing so you always know its terms and don’t miss the end date.

Anyone who can edit listings can add and change agreements.

How do I record an agreement?

  1. Open the listing. Find the Agreement with the owner card.
  2. Press Add.
  3. Choose the Type: Exclusive or Open (non-exclusive).
  4. Enter Starts and, if there is one, Ends.
  5. Enter the Commission % or Or fixed fee, and any Notes.
  6. Press Save.

The owner shown on the agreement is the listing’s owner. Add them to the listing first. See add a listing.

How do I attach the signed agreement?

On the agreement, press Attach signed copy and choose a PDF or a photo of the signed document. To upload a newer version, use Replace copy. Everyone who can see the listing can open it from there.

What do the statuses mean?

  • Active: the agreement is running.
  • Starts later: the start date is in the future.
  • Ending soon: 30 days or fewer are left. The card shows how many days.
  • Ended: the end date has passed.

When you add a new agreement, the old ones are kept under “earlier agreements”, so you have the full history of the property.

Will I be reminded before it ends?

Yes. The listing’s agent gets an e-mail 30 days and 7 days before the end date, and once it has ended. If the listing has no agent, an Owner of the agency gets the reminder. If you have connected Telegram, the reminder arrives there too.

The dashboard also shows an Agreements ending card, so you can call the owner and renew in time.
