How to add custom fields to listings and contacts
Track anything your agency needs with custom fields on listings and contacts, such as text, numbers, dates, choices and yes/no, with list filters and imports.
Every agency tracks something the standard form doesn’t have: a key number, a planning permit, a buyer’s budget source. Custom fields let you add your own fields to listings and contacts. This article shows how.
Owners and Managers can manage custom fields.
How do I add a field?
- Open Custom fields in the Admin section of the sidebar.
- Choose Listings or Contacts.
- Press Add field.
- Enter the Label in English and the Label in Greek.
- Pick a Type: Text, Long text, Number, Date, Choice (one), Choice (several), Yes / no or Web address.
- For a choice field, add the Options in English and Greek.
- Tick what you need:
- Required: the form can’t be saved without it.
- Show in list: shown under each row of the list.
- Filter by it: adds a filter to the list (choice and yes / no fields).
- Press Add field.
Each field gets a permanent key made from its English label. You can rename the field later and imports and filters keep working.
Where do custom fields appear?
On the listing and contact forms, under More details. Drag fields, or use the arrows, to change their order on the forms.
Can clients see custom fields?
No. Custom fields are internal. They never appear on brochures, share pages, portal feeds, your website, proposals or owner reports. That makes them a safe place for details such as a key safe code or the owner’s lowest price.
How do I change or remove a field?
- Edit the label, options and settings at any time. Renaming an option keeps the values already chosen.
- The type can’t change once records have a value in the field.
- Switch a field off to hide it from the forms. Its values are kept, and you can switch it back on.
- You can delete a field only while no record has a value in it. Otherwise, switch it off.
Can I fill custom fields by import?
Yes. When you import listings or contacts, your active custom fields appear in the Import into list, so a column from your old spreadsheet can go straight into one.
