How to import listings and contacts from Excel or CSV

Move to Estate CRM from Excel, CSV or another CRM. Upload a file, match the columns, check it for errors and import listings and contacts in bulk.

If your listings or clients are in a spreadsheet or another CRM, you can bring them all in at once instead of typing them. This article walks through the import, from choosing a file to fixing rows that failed.

Owners and Managers can import.

What file do I need?

A CSV (comma or semicolon) or Excel .xlsx file, up to 10 MB and 20,000 rows. The first row must hold the column names.

The easiest start is a template. Open Import in the Admin section of the sidebar and download the Contacts template or the Listings template. Each has the recommended columns.

How do I import a file?

  1. Under What the file holds, pick Contacts or Listings.
  2. Choose the File and press Upload.
  3. In Match the columns, check where each column goes. We guess from the column names. Change Import into where needed, or choose Don’t import. Your custom fields are in the list too.
  4. Set the Options:
    • When the record already exists: Skip it or Update it. Contacts are matched by e-mail or phone, listings by their reference. When you update, empty cells never erase anything.
    • Agent for rows without one.
    • Lead source for contacts without one.
  5. Press Check the file. You see how many rows are New, Already exist, With errors or have Warnings. Nothing is saved yet.
  6. Press Start import. You can leave the page: the import carries on in the background.

What happens to rows with errors?

Rows with errors are left out. When the import finishes, press Download the rows with errors, fix them in Excel and import that file again.

Past imports lists every import with its result, and you can download the errors from there later.

Can I import listing photos?

Yes. Put the photo URLs in a column and map it to Photo links. Photos download in the background and appear on the listings within a few minutes. Your plan’s photos-per-listing limit applies.

Will clients get e-mails about imported listings?

No. Imported listings are matched against your clients’ requirements, but no automatic listing e-mails go to clients because of an import.

Is there a listing limit?

The Starter plan allows up to 300 listings. Professional and Enterprise have no limit. If a file would go over your limit, the check tells you before anything is imported.
