How to export all your agency's data to Excel
Download all your listings, contacts, requirements, deals and activity history as CSV files for Excel, plus links to every photo and document.
This article shows you how to download a complete copy of your agency’s data — for your own records, for a backup, or before you leave.
Only the agency owner can export all data. It works in any billing state, including during a trial and after a subscription has ended.
How do I export my data?
- In the sidebar, under Admin, open Billing.
- Scroll to Export all data and press Export all data.
- The export is prepared in the background, which can take a few minutes for a large agency. The card shows Preparing your export… while it runs.
- When it is ready, we e-mail you a download link, and a Download button appears on the same card.
To make a fresh copy later, press Export again.
What is in the export?
One ZIP file with a spreadsheet (CSV) for each kind of record, including:
- contacts, requirements and matches
- listings, their labels and features
- activities (viewings, calls, meetings, tasks and notes), deals and pipelines
- enquiries, viewing forms and agreements with owners
- segments, newsletters and follow-up sequences
- your team members, labels, lead sources, custom fields, targets and saved reports
- the change history of your records
The CSV files are UTF-8 and open in Excel, Google Sheets or Numbers with Greek text intact.
Photos, floor plans and documents are not packed into the ZIP. Instead, files.csv lists every one of them with a download link.
Passwords, two-step sign-in data and other security keys are never included.
How long does the download work?
The download link, and the file links inside files.csv, work for 7 days. The card shows the exact date. Download the ZIP and any files you need before then. After that, the card says the export has expired and you can make a new one.
Can I export only some records?
The full export always contains everything. For agent performance, Reports → By agent has its own CSV button — see Reports and targets.
