How to send client e-mails from your agency's own domain
Send newsletters, listing e-mails and follow-ups from your agency's own domain by adding three DNS records, so they reach clients' inboxes.
This article shows you how to make the e-mails the CRM sends to your clients come from your agency’s own address, such as info@youragency.com, instead of ours. Mail from your own domain looks more trustworthy to clients and is less likely to land in spam.
Only the agency owner can set this up.
Which e-mails does this change?
Everything your agency sends to clients through the CRM: newsletters, listing e-mails, match alerts and price drops, follow-up sequences, proposals, owner reports and signed viewing forms.
Until you add a domain, these e-mails go out from our address, with your agent’s name and your agency’s name as the sender. Replies always reach the agent or the agency, with or without your own domain.
How do I add my domain?
- In the sidebar, under Admin, open Email.
- Under Send from your own domain, enter your Domain (for example youragency.com) and the Agency address to send from (for example info@youragency.com).
- Press Add domain. You get three DNS records: one Proves the domain is yours, one is the Signature (DKIM) and one the Sender permission (SPF).
- Add these records at the company that manages your domain’s DNS — your domain registrar, your hosting company or Cloudflare. Use Copy next to each value to avoid typing mistakes.
- Back in the CRM, press Check now.
DNS changes can take from a few minutes to a few hours. The CRM keeps checking every 10 minutes for 3 days, and each record shows Found or Not found. When all are found, the domain shows Verified.
What if my domain already has an SPF record?
A domain can have only one SPF record (the TXT record starting with v=spf1). If you already have one, the CRM shows it as Sender permission (SPF) — replaces your current SPF record. Edit your existing record so it reads exactly as shown. Don’t add a second one, or both stop working.
We also recommend a DMARC record. The page shows a suggested one.
Who sends as whom after verification?
Agents whose own e-mail is on your domain send as themselves. Everything else — newsletters, and agents with an address elsewhere — comes from the Agency address, which you can change later. Keep the DNS records in place. To go back to our address, press Remove domain.
