How to send a property newsletter to your clients

Group your contacts into segments and send a property newsletter in English and Greek to clients who agreed to it, with featured listings and a test send.

This article shows you how to group your contacts into segments and send them a newsletter — new listings, a market update or seasonal greetings — in English and Greek.

Who receives newsletters?

Only contacts who have an e-mail address and have Happy to receive newsletters ticked on their contact form. Every newsletter carries an unsubscribe link. A client who uses it is no longer sent newsletters. This keeps your mailing in line with GDPR.

How do I create a segment?

A segment is a saved group of contacts that stays up to date as your contacts change.

1. Open Marketing in the sidebar and go to the Segments tab.
2. Press New segment and give it a Name.
3. Choose any filters you need: Type of contact (buyer, seller, tenant, landlord, developer), Status, Lead source, Labels, Agent, Language, Looking for a property, In areas, the date they were added, No call or message for (days) and Agreed to newsletters. Ticking several values in one filter means any of them.
4. Check the live count — how many contacts match and how many can get newsletters — and save.

For example: buyers looking in Limassol and Paphos who haven’t heard from you in 60 days.

How do I write and send a newsletter?

1. Go to the Newsletters tab and press New newsletter.
2. Enter a Name (only you see it) and choose the segment under Send to. You see how many people will get it.
3. Write the Subject and Text in English and in Greek. Each contact gets their own language, or your agency’s language otherwise. {first_name} becomes the contact’s first name, and bold, italic, links and lists work.
4. Add up to 6 Featured listings — they appear with photo and price.
5. Press Send a test (English) to me, and the Greek one, and check the e-mails.
6. Press Send now, or pick a date and time under Send at and press Schedule.

While a newsletter is going out you can press Stop sending. Afterwards you see Recipients, Sent, Failed and Unsubscribed.

Can I use a segment for follow-ups too?

Yes. In the Segments tab, use Start a follow-up sequence to put everyone in the segment on a sequence. Contacts already in it are skipped. See Follow-up sequences.
