How to e-mail new listings and price drops to clients

Turn on automatic e-mail alerts so buyers and tenants get new matching listings and price reductions daily or within minutes, without extra work.

Estate CRM can e-mail your clients new listings that fit their requirement, and tell them when a listing they were sent drops in price. This article shows how to turn the alerts on, when they go out and when they don’t.

How do I turn on automatic alerts for a client?

  1. Open the contact and edit a requirement under Looking for (or click Add requirement).
  2. Under Automatic e-mail alerts, choose:
    • Off — I send matches myself — nothing goes out automatically.
    • Daily digest (9:00) — one e-mail each morning at 9:00 with any new matches.
    • Instant (within minutes) — new matches go out shortly after they appear. Estate CRM waits about ten minutes so that several new listings, or quick edits to a fresh listing, arrive in one e-mail.
  3. Click Save & match.

Each alert holds up to 10 listings, best matches first, with photos, prices and a link to each listing’s share page. Listings that were e-mailed move to Sent on the Matches page, and the e-mail is recorded on the client’s timeline.

What happens when a price drops?

When you lower the price of a listing, clients who were already sent it or marked Interested — and have alerts on — get a “price reduced” e-mail showing the old and the new price. Buyers are compared on the sale price and tenants on the rent. The e-mail goes out about 15 minutes after the change, so if you correct a price twice, the client gets one e-mail with the original and the final price. Each change is also kept in the listing’s Price history.

When are no alerts sent?

  • The requirement is paused (Active — keep matching unticked) or alerts are Off.
  • The contact’s Status is Inactive, or they have no e-mail address.
  • The listing is no longer available.
  • Your agency’s trial or subscription has ended.
  • The listing came in through Import. Imported listings never e-mail clients automatically — send them by hand from Matches if you want to.

How does a client stop the e-mails?

Every automatic e-mail has a link to stop them. One click turns alerts off for that requirement, but you can still send listings by hand.
