How property matching works for buyers and tenants

Learn how Estate CRM matches listings to your buyers' and tenants' requirements, how the match score works and how to send matches to clients.

Estate CRM compares every listing with what your buyers and tenants are looking for and shows you the ones that fit. This article explains which listings count as a match, how they are ranked, and what to do with them.

When does a listing match a requirement?

A listing matches when it passes every condition in the client’s requirement:

  • The listing’s status is available, and it is offered for what the client wants — sale or rent. A listing offered for both matches both.
  • The price is within the budget, with 10% leeway either side. A listing with price on request is not excluded by budget.
  • The type is one of the ticked Property types, and it is in one of the Areas (a district includes all its towns).
  • It has at least the bedrooms and bathrooms asked for. Covered area and plot size also allow 10% leeway.
  • Every Must have is met: a private or communal Pool, Parking, and an available Title deed.

Drafts, reserved, sold and withdrawn listings never match.

How is the match score worked out?

Every match scores between 60 and 100. Passing the conditions gives 60. Up to 15 more come from a price inside the exact budget, up to 10 from a size inside the exact range, and up to 15 from the Nice to have features the listing has. The best matches are shown first.

When are matches updated?

Right away when you save a requirement with Save & match, and again whenever a listing is added or edited — a new price, a status change or any other detail. If a new match stops fitting, it disappears. Matches you have acted on stay as history.

Where do I see matches?

  • Matches in the sidebar lists them per contact, in tabs: New, Interested, Sent and Not for them. It shows the 100 best.
  • On a contact, under each requirement in Looking for.
  • On a listing, under Matching buyers & tenants.

How do I send matches to a client?

  1. Tick the listings you want, or Select all.
  2. Click Email to the client, add a Personal note (optional) and send. The e-mail has photos, prices and your contact details, and each listing links to its own share page. The matches move to Sent.
  3. Or choose Proposal PDF to make one branded PDF with 2 to 20 listings.

Mark listings Interested or Not for them as the client reacts, so your team knows where things stand.
