A buyer finds a home they like on a portal late in the evening. They send an enquiry about it, and probably about two or three similar homes listed by other agencies. The next morning, the first agent who calls has a real conversation. The others hear 'thanks, I'm already speaking to someone.'

Every agency can control how quickly a buyer hears back. That comes down to two things: getting each enquiry to the right person at once, and knowing how fast your team really replies.

Where enquiries get lost

Most slow replies are nobody's fault. An enquiry lands in a shared inbox and everyone assumes someone else took it. A portal e-mail sits unread because the agent who covers that area is at a viewing. A lead from the website goes to the office manager, who forwards it on Monday.

Each handover adds hours. By the time the right agent sees the message, the buyer has already booked a viewing with someone else.

Routing every enquiry to the right agent

EstateCRM gathers enquiries from the places they come from:

  • the enquiry form on a listing's share page
  • your own website, through the website API or the WordPress plugin
  • property portals and any site that e-mails you enquiries, once you forward those e-mails to your agency's private lead address

Each enquiry then follows the same path. EstateCRM looks for an existing contact with the same e-mail or phone, and creates a new contact with the status Lead if there is none. It picks an agent and assigns the contact to them. The agent gets a Reply to enquiry task, due at once, with the message attached, plus an e-mail notification.

The agent is chosen in a fixed order:

  1. A client you already have stays with their own agent, as long as that agent is active.
  2. An enquiry from a share link an agent sent goes to that agent.
  3. Your own rules come next, from top to bottom. They can look at the lead source, sale or rent, and the language of the message.
  4. Otherwise, the listing's agent gets it, or the team takes turns, as you choose.

Taking turns means the agent who was given a lead longest ago gets the next one. The load stays fair and nobody has to keep a rota.

For portal e-mails, the client's name, e-mail and phone are read from the message, a listing reference in the text links the lead to that listing, and the lead source is set to the portal it came from. Automatic replies and duplicate e-mails are ignored.

Measuring how fast you reply

What gets measured gets better. The Reply times section in Reports shows the median reply time, the share of leads answered within one hour and how many are still waiting, by agent and by lead source.

A first call, message or meeting counts as a reply, and so does closing the Reply to enquiry task. The number tracks when the client actually heard from you.

Looking at reply times by source can be revealing. If portal leads wait longer than website leads, the cause may be how those e-mails reach the team. If one agent's median is much slower than the rest, they may simply have too many leads and need a lighter share in the rotation.

Practical tips to reply faster

  • Set a team standard. Agree on a target, for example a first reply within an hour during working hours, and look at Reply times together each week.
  • Reply briefly, then follow up properly. A short message confirming you have the enquiry and asking when suits them for a call is a real first reply. The detailed answer can follow an hour later.
  • Keep a few prepared messages. Answers to common questions, ready to adapt, save minutes on every lead.
  • Plan for busy days. When an agent is booked with viewings all day, adjust the rules so new leads go to colleagues with more time.
  • Add an automatic first touch. A follow-up sequence can send a friendly e-mail the moment an enquiry arrives, introducing the agent. It stops by itself as soon as the agent calls and logs it.
  • Answer the question they asked. A fast reply that ignores the buyer's actual question sends them back to the other agencies.
  • Close the task when you reply. It keeps your list clean and your reply time accurate.

A morning with routing in place

Picture the same evening enquiry again. It arrives from a portal at 22:40 and is forwarded to your lead address. EstateCRM finds no existing contact, creates one, sees the listing reference and gives the lead to the listing's agent. At 8:15 the agent opens the CRM, finds a Reply to enquiry task at the top of the list with the message attached, and calls. The buyer, who also wrote to two other agencies, is already talking to you.
