Stop running your agency on spreadsheets and WhatsApp
Spreadsheets, chats and memory cost agencies buyers, time and commission. Here is what that really looks like, and how to move to one system step by step.
Almost every agency starts the same way. A spreadsheet for listings, another for buyers, a shared folder of photos, and phones full of WhatsApp chats. For a small team it feels quick and free. The cost is real, it just never shows up on an invoice.
What spreadsheets and memory really cost
Buyers who slip away. A buyer asks for a 3-bedroom apartment under €420,000. Three weeks later a perfect one comes in, but the agent who took the call is on holiday and nobody else knows. The buyer finds it through another agency.
Double work. The same listing is typed into the spreadsheet, the website and a brochure template. The price changes and only two of the three get updated. Two agents call the same seller in the same week, each unaware of the other.
Knowledge that leaves with people. When an agent moves on, their chats, notes and much of their clients' history go too. The next person starts from zero with a client who expects to be remembered.
Disputes with nothing to show. A client you took to a property later buys it privately, or two agents both claim the same sale. Without a record of who introduced whom and who did what, it is one word against another.
Good agents fall into every one of these traps. The links between separate tools depend on people remembering, and people are busy.
What changes with one system
In EstateCRM every listing, contact, requirement, viewing and deal lives in one workspace. The timeline of each client and each listing records every call, message, e-mail, viewing and note, by anyone on the team. Changes to listings, contacts and requirements are logged with the old and new value, who made them and when.
That answers each of the costs above:
- new listings are matched against every buyer's requirements automatically, so the right buyer is found whoever is on holiday
- a price is changed once, and brochures, share pages, your website and feeds follow
- when someone leaves, you deactivate their account, and their listings, contacts and history stay with the agency
- a client can sign a viewing form on your phone that lists the properties you showed them, and each deal records how the commission is split between agents
Moving over, step by step
Switching sounds like a big project. In practice it comes down to a few focused steps.
- Set up the agency. Add your name, logo, brand colour and contact details in Agency settings. They appear on every brochure, share page and client e-mail.
- Invite the team. Give each person a role: owner, manager, agent or assistant. Agents see only the contacts assigned to them, while assistants see all of them, so choose according to how your office shares clients.
- Import your listings. Save your spreadsheet as CSV or Excel, open Import and upload it. EstateCRM recognises most column headings and you map the rest by hand. Choose an agent for rows without one, then press Check the file to see how many rows are new, already exist or have errors before anything is saved. If you keep photo links in a column, the photos are downloaded in the background.
- Import your contacts. Do the same for buyers, sellers, tenants and landlords. Contacts are matched by e-mail or phone and listings by reference, and you choose whether existing records are skipped or updated. Rows with errors are left out. Download them, fix them and import that small file again.
- Add lead sources and labels. Record where clients come from, such as portals, your website or referrals, so the reports can show what works.
- Record your active buyers' requirements. Start with the buyers you are working with this month. Matches appear the moment each requirement is saved.
Imports never e-mail your clients. Imported listings are matched against requirements straight away, but no automatic alert goes out because of an import, so you decide when to send anything.
Making it stick
A new system only helps if the team uses it every day. A few habits make the difference:
- call, WhatsApp or e-mail clients from the buttons on their contact page, which log each message on the timeline for you
- record the outcome after every viewing, which also updates the buyer's match
- move deal cards as soon as something happens, so the pipeline tells the truth
- set up lead routing and forward portal enquiry e-mails to your agency's private lead address, so every new enquiry lands on an agent's list as a reply task
The dashboard does its part too. Each agent opens EstateCRM to today's viewings, overdue tasks and new matches waiting to be sent, so the next thing to do is always in front of them.
