Owner reports: keep your sellers in the loop
A short, regular report on views, enquiries and viewing feedback turns an anxious seller into a partner. Here is how to make owner updates a habit.
Every seller asks the same question sooner or later: “So, what is happening with my property?” If the answer only comes when they phone you, they have already started to wonder whether anyone is working on it. A short, regular update answers that question before it is asked.
Owner reports are one of the simplest habits an agency can build. They take a few minutes, they show the work that usually stays invisible, and they give you solid ground when it is time to talk about price.
Why sellers go quiet, then go elsewhere
Most sellers never see the effort behind a listing. They don't see the matches sent to buyers, the calls about the parking space, or the couple who loved the kitchen but needed a third bedroom. All they see is a phone that doesn't ring.
Silence gets filled with guesses. The seller hears that a neighbour's flat sold quickly, or a friend recommends another agent, and doubt sets in. By the time they call you, they want answers you could have given them weeks ago.
Regular reports close that gap. When an owner receives a clear summary every few weeks, they know the property is being marketed, they see how buyers respond, and they trust that you will tell them what is working and what isn't.
What goes into an owner report in EstateCRM
In EstateCRM you open the listing and press Owner report. You choose the period, the last 30 or 90 days or your own dates, and the owner receives a branded PDF showing how the listing did:
- how many times its share page was viewed
- the enquiries it received
- the viewings held, with the feedback agents recorded afterwards
- how many clients were sent the listing and how many are interested now
- any price changes in the period
The owner sees numbers and feedback only. Clients' names never appear, so you can be open with the seller without sharing anyone's personal details.
Nothing goes out on a timetable the agent doesn't control. You decide when a report is sent, so you can pair it with a call or a note when the figures need some context.
Using the report in price conversations
A price reduction is one of the hardest conversations in the business. Without evidence it sounds like an opinion, yours against theirs.
A report changes the tone. Imagine a three-bedroom house listed six weeks ago. The share page has been viewed often and plenty of clients have been sent it, but only two viewings took place, and the feedback from both mentions the price compared with similar homes nearby. You don't need to argue. You can go through the report with the owner and let the pattern speak.
The reverse helps too. If a listing has plenty of viewings and the feedback keeps mentioning a dated bathroom or a dark hallway, the report points to a practical fix instead of a price cut. Either way, the seller sees that your advice comes from what buyers actually did and said.
Good habits for owner updates
A report is only as useful as the information behind it. A few habits make a big difference:
- Record every viewing's outcome with a short note. The feedback section can only show what agents wrote after each viewing.
- Pick a rhythm and keep it. Every two or four weeks works for most listings. Owners notice consistency more than volume.
- Send it with a sentence of your own. One line such as “Good interest this month, and two buyers asked about the garden” makes the PDF personal.
- Call after bigger changes. A price change or a slow month deserves a conversation as well as a document.
- Keep your notes factual. Write what the client said, not what you think the owner wants to hear.
Trust today, instructions tomorrow
Sellers talk to each other, and they remember how an agent made them feel. An owner who received honest, regular updates is far more likely to come back when they sell their next property, or to recommend you to a friend who is about to.
Reports help your own team as well. When a colleague takes over a listing, the reports already sent show what has been tried and how buyers responded, so the seller never has to explain it all again.
