What to expect from an EstateCRM demo
What happens in an EstateCRM demo, what to bring so it reflects your agency, and the questions worth asking any CRM vendor before you choose.
Choosing a CRM is a decision your whole team will live with every day, so it deserves more than a feature list. A demo is where you find out whether the software fits the way your agency actually works.
Here is what happens in an EstateCRM demo, how to prepare so you get the most from it, and the questions worth asking any CRM vendor, including us.
What happens in a demo
A demo is a conversation with the app on screen. We start by asking how your agency works today: how many people you have, who looks after which clients, where your listings and buyers are kept now, and where your enquiries come from. Then we walk through an ordinary week in a demonstration agency with realistic listings, clients and deals.
A typical walk-through follows the life of a sale:
- a new listing goes in, with photos, a pin on the map and the agreement with the owner
- the buyers it matches appear straight away, and a shortlist goes out by e-mail
- a viewing is booked, confirmed by WhatsApp and signed for on a phone
- an offer becomes a deal on the pipeline board, with its commission and how it is split
- an enquiry arrives from a share page and is routed to the right agent
- the property owner gets a report, and the manager reviews the month in Reports
We also show what each role sees. An agent's view is simpler than an owner's, and seeing both helps you picture your own team using it.
None of this is a fixed script. If matching and viewings matter most to you, that is where we spend the time.
How to prepare
You don't need to prepare anything, but a little goes a long way.
Bring a few real listings. Three or four properties you are selling now, with their details and photos, show how EstateCRM handles your kind of stock.
Bring a typical buyer. Think of a client you are working with, say a couple looking for a 3-bedroom apartment under €420,000 in two particular areas who would love a view. We can enter that as a requirement and watch which listings match and why. A description of what they want is enough, no names needed.
Know where your data lives. If your listings and contacts are in a spreadsheet or another CRM, note which columns you keep. That shows how an import would go.
Invite the right people. The owner, whoever runs the office day to day, and at least one agent. The agent will spot what makes daily work easier or harder faster than anyone.
Write down your questions. The ones below are a good start.
Questions worth asking any CRM vendor
Whatever you end up choosing, these questions help you tell a tool that fits an agency from one that only looks good on screen. Here is how EstateCRM answers them.
Can I bring my existing listings and contacts? Yes. You import CSV or Excel files, map the columns, check the file before anything is saved and fix any rows with errors. Imports never e-mail your clients.
Can I get all my data out again? The agency owner can download a full copy at any time: a ZIP with a spreadsheet for each kind of record, plus links to every photo and document.
Who sees which clients? Roles decide it. Agents see only the contacts assigned to them, while owners, managers and assistants see all of them. Every rule is checked on the server, so hiding a page is never the only protection.
How are sign-in and data protected? Two-step sign-in with an authenticator app, which the owner can require for everyone. Each agency's data is separated in the database itself, and changes to listings, contacts and requirements are logged with the old and new value, who made them and when.
Does it work on a phone? Every page does, in the browser, with nothing to install.
What happens when someone leaves? You deactivate their account. They are signed out at once, and their listings, contacts and history stay with the agency.
What does the public see? Brochures, share pages, your website and feeds show only the public part of a listing. Internal notes, the owner, your commission and your custom fields stay inside the agency.
After the demo
If EstateCRM looks right for you, we set up your agency's workspace and e-mail the owner an invitation. The owner opens the link, chooses a password and is in. From there a good first day is simple: add your agency details and logo, invite the team with the right roles, import your listings and contacts, and record what your active buyers are looking for so the first matches appear.
Book your demo
The best way to judge any CRM is to see it with your own listings and buyers in mind. Book a demo at estatecrm.cy, bring a few listings and a typical buyer, and we will show you what your week would look like in EstateCRM.
