Digital viewing forms, signed on a phone at the viewing
A signed record of the properties you showed a client protects your work and your commission. Here is how to get one at the viewing, with no paper at all.
Every agent knows the story. You show a buyer three homes on a Saturday. A few weeks later one of them sells, the buyer's name is on the contract, and your agency is nowhere in it. The buyer says they found the house elsewhere, or went straight to the owner. Without a record of the introduction, it comes down to your word against theirs.
A signed viewing form changes that conversation. It is a simple document: these are the properties we showed you, and you confirm it with your signature. Many agencies used to do this on paper, and paper gets forgotten in the car, left unsigned or lost in a drawer. EstateCRM moves the whole thing onto the phone you already carry.
Why signed viewing records matter
A viewing form proves that your agency introduced the client to specific properties. That record protects your commission if anyone tries to go around you, whether that is the buyer, the owner or another agency.
It also keeps things clear for the client. They see exactly which properties they were shown, and they read the declaration before they sign. Nothing is squeezed into small print on a clipboard.
And it helps your own team. When a question comes up months later, the answer sits on the client's record, with the name, the time and the list of properties. Nobody has to rely on memory.
A note on wording: the declaration is set by the agency owner, and you should have your lawyer check it. What a signed form means depends on that text and on the rules where you work, so get it right once and use it every time.
How the flow works
Everything starts from the client's contact page in EstateCRM.
- Under Viewing forms, press New form. The listings the client viewed recently are already ticked, and you can add others you sent them or that they liked.
- Press Make form.
- Hand over your phone and press Sign on this device. If the client is not with you, press Send link and share it by copying the link, or by WhatsApp, SMS or e-mail.
On the phone, the client reads the list of properties and the declaration, types their full name, signs with a finger (or a mouse on a computer) and ticks that they agree.
Once signed, the form shows Signed with the client's name and the time. A PDF button appears, so the agency has a copy for the file. The client receives a copy by e-mail if they have an address, and a note is added to their timeline.
What keeps the record trustworthy
A few details make the signed form something you can rely on later:
- The wording is frozen. The agency owner sets the text in Agency settings. If it changes later, forms already signed keep the wording they were signed with.
- Links expire. An unsigned link works for 7 days, and you can withdraw it sooner if plans change.
- Everything is in one place. The form sits on the client's contact, next to their viewings, calls and messages, so the story of the relationship reads in order.
Making it part of every viewing
The form works best as a habit, done at the end of every viewing day. Some practical suggestions:
- Schedule viewings in the CRM. When a viewing is logged with the client and the listing, the form ticks those properties for you. Less typing, fewer mistakes.
- Sign at the last property. Standing by the car after the final viewing is a natural moment. The client has just seen everything, and the list is fresh in their mind.
- Explain it in one sentence. 'This just confirms which homes we saw today, and you will get a copy by e-mail.' Most clients are happy to sign something that simple.
- Send the link to clients who are not with you. A buyer who toured with a colleague can still sign from their own phone.
- Record the outcome too. After the viewing, mark it done and choose an outcome such as Interested or Not interested. The form covers the introduction, and the outcome keeps the client's matches accurate.
- Ask again when a link goes unsigned. If a link is still waiting after a day or two, a friendly reminder usually does it, well within the 7 days.
Paper forms versus phone forms
The idea behind a viewing form is old and sound. What changes on a phone is everything around it. The list of properties comes from the CRM, so it is complete and spelled correctly. The signature, name and time are captured together. The PDF is filed on the client's record the moment the form is signed, and the client has their own copy by e-mail. There is nothing to scan, nothing to retype and no folder to search when you need it.
